Acknowledgements and announcements

Publish regulations, procedures and announcements for employees. See who has acknowledged the current document version and who has yet to accept it.

Acknowledgements and announcements are part of HR Basic.

Content and attachments

Create a document in an editor with headings, lists, tables and links. Attach files, such as regulations in PDF form or materials supporting a procedure.

The system assigns a document number and records the author and last editor. Types and categories help organise the list.

From draft to published version

A new document starts as a draft. An authorised person publishes it, and the system assigns a version number.

Editing a published document prepares a new version. The previous content stays in the history, so you can see exactly which document an employee acknowledged.

Documents for the right people

Define which employee types a document applies to. Mark it as requiring acknowledgement or as a general announcement.

Required procedures have a priority and display order. Employees receive a list of documents that apply to their account and await acceptance.

Acknowledging a specific version

The employee opens the content and confirms they have read the document. The record includes the version and acceptance date.

Publishing a new version makes the document require acknowledgement again. The current status is visible in the profile and acknowledgements list.

Who has already accepted

The report shows the people who acknowledged the current document version, with dates. A separate list shows active employees to whom the document applies but who have not yet accepted it.

The list also includes people who have not opened their acknowledgements yet.

Archive and permissions

Move outdated documents to the archive. Published version history and earlier acknowledgements are preserved.

Separate permissions control creation, editing and publication. This lets the company separate preparing content from sharing it with employees.
